Privacy Policy

This document explains, in a clear and transparent manner, what personal data we collect, why we collect it, how we use it, who we share it with, and what your rights are. The Brazilian General Data Protection Law (LGPD, Law 13,709/2018) and, where applicable, the European GDPR apply.

1. Who we are

Xplore Dados is a SaaS platform for academic research and data analysis. We are the controllers responsible for processing your personal data.

2. Data we collect

We collect only what is necessary to operate the platform and improve your experience. Below, each data category with details:

Data we do NOT collect: We do not collect sensitive data (race, religion, sexual orientation, health data, biometrics, union or political affiliation). We do not collect financial data directly: payments are processed via Stripe.

3. Why we collect your data

Purpose Description

4. Legal bases for processing

All personal data processing at Xplore Dados is supported by a valid legal basis, in accordance with the LGPD (art. 7) and, where applicable, the GDPR (art. 6):

Consent is revocable: You can revoke your consent at any time, free of charge, by contacting us at contato@xploredados.com. Revocation does not affect the legality of processing done before it.

5. Who we share your data with

We share data only with partners strictly necessary to operate the platform. We never sell your personal data.

Important: Services that rely on consent (Google Analytics, Meta Pixel) are only activated if you accept analytics/advertising cookies in the consent banner.

6. Processing by third-party artificial intelligence

Our tools rely on artificial intelligence models operated by third parties. This means that the content you submit (text, extracted passages from your PDFs, audio files, questions and references) is sent to these providers so the result can be generated. This section explains exactly what happens.

What never leaves the platform: Requests to these providers are made with the Xplore Dados organization key. Your name, e-mail, account identifier, phone number, institution and payment data are never attached. To the provider, the request carries no end-user identity.

6.1. Training and provider-side retention

We contract the paid API tiers of these providers. Under their published API policies, content sent through the API is not used to train models, and requests are retained only briefly for abuse monitoring before being discarded. These are the providers' own commitments, which we reproduce here for transparency:

Audio is the exception we want to state plainly: we do not ask the transcription provider to delete the audio file once the transcription is returned. From that point on, what happens to it is governed by that provider's own retention policy, linked above. If you want a specific recording removed, write to contato@xploredados.com.

6.2. Care that is yours to take

Before submitting material to any AI tool:
  • Do not submit identifiable personal data of third parties (research participants, patients, interviewees) without anonymizing it first.
  • Do not submit sensitive data (health, race, religion, sexual orientation, political or union affiliation, biometrics).
  • Do not submit material under confidentiality, a non-disclosure agreement, or embargo.
  • Do not submit credentials, passwords, or access keys.
  • If your research has ethics committee approval, confirm that the protocol allows processing by cloud services located abroad.

7. International data transfer

Several of our technology partners have infrastructure outside Brazil, including Supabase, Render, Google, OpenAI, Anthropic, AssemblyAI, Tavily and Exa, all in the United States. In these cases:

  • We verify that the partner adopts protection standards compatible with the LGPD and, where applicable, the GDPR.
  • We prioritize partners with security certifications (SOC 2, ISO 27001) or standard contractual clauses (SCCs).
  • We anonymize data whenever possible before transfer (e.g., IP in Google Analytics).
  • We select providers that offer a data processing agreement, and we answer for that selection. We do not disclaim responsibility for the processing carried out by the providers we chose.

8. Storage, retention and deletion of your data

Your data is stored on Supabase (Postgres database and file storage) and Render (application hosting and access logs), both with infrastructure in the United States. Files you upload are kept in access-restricted buckets and are never public.

8.1. What happens when you delete your account

Deleting your account in My Account removes your profile and your access credentials right away, and with them the records the database ties to your account: your SmartChat conversations and saved contexts, your credit balance, your credit grants and your transaction records, and the history of the tools you used, including Bibliometric Analysis, Research Gap Detector, Journal Finder, Formatter, Article Shortener, Reference Checker, Merge Databases, PaperLab AI (projects, files and versions), Kanban, Audio Transcription and the Zotero connection. The records that survive deletion, and why, are listed below.

What account deletion does not reach today:
  • The files you uploaded (PDF, DOCX, bibliographic bases) remain in our restricted storage buckets. They are no longer reachable from the platform and are no longer linked to any account, but they are not erased automatically.
  • A few histories are not tied to your account by a database constraint and survive it: Citation Generator, Academic Reviewer, Search Strategy Builder, SmartChat projects and memories, and your onboarding progress.
  • Two records keep personal data after the link to your account is removed: your subscription record keeps your e-mail and your Stripe subscription ID, so an active subscription is not lost when you delete your account; and any course certificate already issued keeps the student name and e-mail used at the time, since a certificate cannot be retroactively unissued.
  • We keep your e-mail permanently in a welcome-credits registry, even after your account is deleted. This is an anti-fraud control: it stops an account from being deleted and recreated to claim the welcome credit more than once.
  • Records we are required to keep: invoices already issued and the payment records held by Stripe, for 5 years, and Render access logs, for 90 days.
If you want the remaining items erased, write to contato@xploredados.com and we will remove them manually, within the deadline stated in section 9.

9. Your rights as a data subject

The LGPD (and the GDPR, if applicable) guarantee you the following rights over your personal data:

Confirmation and access

Know whether we process your data and obtain a copy of the data we hold about you.

Correction

Request the update or correction of incomplete, inaccurate, or outdated data.

Deletion

Request the deletion of your personal data, subject to legal retention obligations.

Anonymization / Blocking

Request the anonymization or blocking of unnecessary data or data processed in non-compliance.

Portability

Request the transfer of your data to another service provider in a structured format.

Opposition

Object to processing based on legitimate interest, if you believe your rights prevail.

Consent revocation

Withdraw your consent at any time, easily and free of charge.

Sharing information

Know which public and private entities your data has been shared with.

How to exercise your rights: Send an e-mail to contato@xploredados.com with the subject 'Data subject right' and describe your request. We will respond within 15 business days.

10. Information security

We adopt technical and organizational measures to protect your data:

  • Encryption in transit: All traffic is protected by HTTPS/TLS.
  • Encryption at rest: Passwords stored with bcrypt hash; httpOnly session tokens.
  • Access control: Production data access restricted by role and multi-factor authentication.
  • Monitoring: Access logs and suspicious activity alerts.
  • Incident response: In the event of a data breach, we will notify the ANPD and affected data subjects within the legal deadlines.

11. Cookies and trackers

We use cookies to operate the platform and, with your consent, for analytics and advertising purposes. See the summary below:

12. Minors

The Xplore Dados platform is not intended for anyone under 18 years of age. We do not intentionally collect data from minors. If we identify data from a minor without the guardian's consent, we will take steps to remove it immediately.

13. Updates to this policy

We may update this Privacy Policy periodically to reflect changes in our services or legislation. The current version will always be available on this page, with the date of the last update at the top.

In the event of significant changes, we will notify users by e-mail or a notice on the platform.

15. Use of metadata for research

With your explicit and optional consent, we use metadata about how the platform is used to produce research, reports and content about academic research practices.

  • What it covers: field of study, institution type, profession, and which tools are used and how often.
  • What it never covers: the content of your documents, texts, conversations, results or references.
  • How it is published: only in aggregated form, never allowing you to be identified.
Optional and revocable: Refusing this consent does not restrict any platform feature. You can grant or revoke it at any time in My Account.
